Operations Manager

Donnini apartments are looking for an enthusiastic, self-motivated, and experienced operations manager. Donnini Apartments are a young, rapidly expanding serviced accommodation business based in Ayrshire. We strive to operate with exceptional service throughout our range of apartments and houses. This role would be ideally suited to someone with a background in hospitality or operations/logistic management.

Donnini currently operates 45 serviced accommodation units around Ayrshire and are looking to continue our quick growth to date as well as significant expansion on a national basis over the next few years.

This position would ensure the smooth running of the business, providing a great guest experience, be people focused and manage a team. This position will be an integral part of our business by helping create and develop the best process to support our future growth. It is also key that you can problem-solve, make tough decisions in a timely manner as well as higher-level thinking using your experience to date.

What will you be responsible for?

You will be responsible for ensuring the ultimate guest experience measured through guest feedback and repeat business. This is achieved by the smooth running of our operations.

Overview Strategic responsibilities.

Effectively manage and continuously improve processes.

Help successfully drives the growth of Donnini beyond Ayrshire.

Managing the day-to-day processes of running the Donnini portfolio.

Managing the operations team.

Support members of the team to help grow and reach their full potential, conducting performance reviews with the team you are managing and building a strong relationship with team members.

The specific responsibilities within the operations team are:

Ensuring the consistency of apartment quality and management of daily process/team members to ensure the best possible guest experience.

Reporting key metrics to business owners and identifying problems and solutions within the business. A good understanding of finance, key metrics and working closely with the sales team to ensure targets are met.

Overseeing Housekeeping strategy, ensuring standards, and managing relationships.

Managing new properties coming onto the portfolio, coordinating all aspects to ensure it is listed in a timely manner to the standard of other apartments.

Being out at apartments on a regular basis to ensure they are remaining a high standard and creating a regular inspection diary to carry out any work needed.

Through the effective use of company, documentation ensure that all relevant control procedures are in place to deliver accurate records in all areas of the operational business.

Ensuring compliance, contracts are kept up to date as well as keeping up to date with any regulation changes within our industry.

Management of utilities in apartments, ensuring we are on the best tariffs, regularly reviewing these for tender.

Liaising with trades/workmen on any projects or apartment upgrades we have in progress & arranging quotations for these projects.

Requirement

Bring extensive knowledge/experience of providing exceptional guest service and operational excellence.

Good business acumen and understanding of key business metrics.

Tactical Responsibilities:

As an Operations Coordinator, your responsibilities will include the following:

Daily operational assistance whilst supporting other operational members of the team

Scheduling and liaising with housekeeping & our maintenance team

Monitoring and updating our property systems on a daily basis

Listing new properties and setting rates on our website and booking channels

Procuring, organising, and connecting supplies and utilities for all new properties

Management and procurement of stock items for apartments

Monitoring and organising all compliance in our properties

Strategic Responsibilities:

You are responsible for our guest experience systems, ensuring that every system delivers against its expected result, and we are innovating to further enhance the guest experience.

Essential Requirements:

Full UK Driving Licence

Excellent computer skills

General Maintenance - £8.50 - £12.00 an hour

The Role & Responsibilities:

Operations support to Donnini as and when required

Responding to guest issues and requirements (callouts) when the issue cannot be addressed over the phone

Linen and consumable stock management – monitoring our linen/stock usage and distributing linen to our housekeepers

Liaising with housekeeping to ensure apartments are always guest ready on time

Property inspections and monitoring cleaning standards

Be able to deliver basic maintenance tasks to set deadlines

To be responsible for basic proactive maintenance on apartment visits

Furnishing new apartments

Carry out fire risk assessments

Out of hours support

To maintain and be responsible for the company van

Required Attributes:

You live within South Ayrshire

You are fully flexible and can commit to out of hours support throughout your days on duty

You have great attention to detail and finesse with hands on work

You have a professional and personable manner for moments of guest interaction

You have a proactive attitude

You are able to complete basic admin skills

Attributes required for this role include flexibility, loyalty, basic technical ability, problem solving, hands on skills and strong communication skills

 

Requirements:

Candidates must hold a clean full UK Driving License

1 Year maintenance experience is preferred

Hours:

Part time with potential for more hours.

Working Days: 5 over 7 days.
